Help
This is the cleaning log for the Coddington Road Community Center. It takes the place of the paper checklist. You sign in on a phone, a tablet or a computer, see what is due, and tap to mark it done. This page explains every part of the app. Use the headings to jump to what you need.
Signing in and getting access
Sign in with Microsoft, Google, Apple, or an email address and a password. Use whichever you prefer. Any email works. The app creates your account the first time you sign in, so there is nothing to set up in advance.
A brand new account has no access yet and shows a short waiting screen. An admin then gives you access as a cleaner or as an admin. Once that is done, sign in again and you land on your screen. If you ever get stuck on the waiting screen, it means your access has not been set yet. Ask an admin at the center.
To sign out, use the Sign out button in the bottom bar. On a shared device, sign out when you finish so the next person signs in as themselves and the log records the right name.
Finding your way around
Cleaners have a bar along the bottom of the screen with three places: Today, Safety and Report. Admins see a fourth button, Admin, that switches to the admin view, and can switch back the same way. The Sign out button is at the end of that bar.
Today, your home screen
Today opens with the date in plain words and a count of how much is done so far, such as 8 of 20 done. Below that is a card for each area of the building.
Each area card has a small ring that fills as work gets done, and a line that reads Nothing due today, a number still to do, or All done. An empty ring is not a warning. It simply means the work has not been done yet. When everything on the day is finished, a note at the top says so.
Tap an area to see its rooms. Tap a room to see its tasks.
Rooms and tasks
Inside a room the tasks are grouped by how often they are due: Daily, This week, Twice a month, This month, This quarter, This year, and As needed. This tells you at a glance what belongs to today and what has a longer horizon.
At the top of the list is a filter with three settings: Not done, Done and All. It starts on Not done so you see what is still open. Switch to Done to review what has been finished, or All to see everything.
Marking a task done
Tap a task to mark it done. It ticks right away and shows an Undo for fifteen minutes in case you tapped the wrong one. After that the record stands.
Work is recorded for the building, not for a person. If either cleaner marks a task done, it is done for both of you. A task finished by the other cleaner shows their name and the time it was done, so you never repeat work that is already complete.
Some tasks ask for a number, such as a temperature reading. Tapping one opens a keypad. Enter the reading and save. If a reading is outside the expected range it still saves, and an admin is notified so it can be looked at.
The three dots on a task
Each task has a small three dot menu. It lets you:
Add a note, for anything worth recording about that task. Mark it as not needed today, with a short reason, when a task genuinely does not apply. As needed tasks cannot be marked not needed, because they are only ever done when the need comes up. Report a problem tied to that task, which sends it to the admins.
Safety, the monthly monitor
The Safety screen is a walk through of nine building safety checks, done once a month. It covers things like walls, doors, sidewalks, the parking lot, plumbing, exit doors and heating filters, plus an Other for anything else.
For each item, tap OK or Needs attention. You can point it at a specific room and add a note. The screen shows how many of the nine you have recorded this month. Marking an item Needs attention opens a matching problem in the register automatically, so nothing gets lost. Recording all nine satisfies the monthly safety task.
Report, sending a problem to an admin
The Report screen is for anything that needs an admin to know, whether or not it is tied to a task. Describe the problem, choose how urgent it is, low, medium or urgent, and send it. Urgent problems stand out on the admin dashboard right away.
For admins: the dashboard
The Admin button opens the dashboard. Across the top are three tiles showing how much is done Today, This week and This month. If any urgent problems are open, a red banner lists them at the very top. Below is a short list of recently missed items so you can follow up.
For admins: the log
The Log is the full history of what was done, in one table. Filter it by area, by kind of record, by person, or by searching room and task text. There is also a From and To date range for zeroing in on a period, with a Clear dates button to reset it. Export CSV downloads the current view as a spreadsheet.
For admins: reporting
Reporting gathers the numbers: completion rate by area for today, missed items, per person activity with a last active time, and the problem register. It is the place to see how things are going over time rather than in the moment.
For admins: the problem register
The problem register holds everything reported, from the Report screen, from a task, and from Needs attention on the safety monitor. Open an item and it slides over the screen so you can work it without losing your place. Set its status to open, in progress or resolved, and mark it resolved when it is handled. A link takes you to the full problems screen when you want the whole list.
For admins: managing people and the checklist
Manage has four tabs. Users is where you set someone to cleaner or admin, or turn off their access. Areas, Rooms and Tasks let you add, rename, reorder and turn items off.
Nothing is ever deleted. When you turn a room, an area or a task off, it stops appearing on the list but its past records stay exactly as they were, with the names they had at the time. That keeps the history honest and readable for good.
A few ideas that tie it together
Work is building wide. One task in one period is done once, by whoever gets to it, and the log records who and when. Completion is never tracked per person as a race.
Periods reset on their own. A daily task is fresh each day, a weekly task each week, a monthly task each month, and so on. All of that is worked out in local time for Ithaca, New York, so the day rolls over when it should.
There is a go live date. Before it, the app does not count items as missed, so the early days are not marked against anyone while everyone settles in.
Light and dark
The Theme control in the footer switches the look between System, Light and Dark. System follows your device. Your choice is remembered on that device for next time. It changes only how the app looks, nothing else.
Using it like an app on your phone
You can add the log to your home screen from your browser menu, using Add to Home Screen, for a one tap shortcut that opens full screen like an app. It still runs in the browser, so there is nothing to install from a store.
Getting help
If something is not working, or you need access, tell an admin at the center or contact Service in Unity, which owns and runs the app and provides it free while its team does the cleaning there.
